  • Website Content & Social Media Policy

    Electronic communications, including social media and official websites, must adhere strictly to the following guidelines for Harvard’s club sports organizations:

    • Organization Name & Branding: Only use sanctioned versions of the organization’s name and logos. The Harvard shield or approved organization logo must be used in accordance with university guidelines [Linked Brand Identity Guide]. An Article of Affiliation stating “a student-run club sport organization at Harvard University” should be clearly displayed.
    • Website Requirements:
      • Display the Official Organization Name prominently, typically in the website header.
      • Place the Article of Affiliation visibly, using a comparable font size and color to other website text, ideally near the organization name.
      • Include a statement on the use of name and trademark in the website footer: “The Harvard name and/or shield are trademarks of the President and Fellows of Harvard College and are used by permission of Harvard University.”
    • Social Media Representation:
      • Use an account name that reflects the Official Organization Name, Abbreviated Organization Name, or Official Acronym.
      • The About section must include the Official Organization Name and Article of Affiliation.
      • Provide a link to the organization’s official website in the designated field.
  • Image & Perception

    Harvard’s club sport organizations must maintain a respectful and professional public image. Inappropriate behaviors, such as lewd acts, alcohol consumption, hazing, or sharing sexually explicit images, will result in disciplinary action under the Club Sport Disciplinary Policy. Organizations must use common sense and uphold standards of decency in all online public communications. Each club sport organization is responsible for creating, using, and managing content appropriately.

  • Photography and Videography Requirements for Club Sports

    1. General Prohibition

    Photography and videography is strictly prohibited within all Harvard Recreation facilities to protect the privacy and safety of our patrons.

    2. Limited Exception for Club Sports

    Recognized Club Sport organizations are granted a conditional exception to this policy for the purposes of team promotion and historical archiving. This exception is valid only when the following criteria are met:

    • Authorized Activity: Media may only be captured during officially scheduled club practices, matches, or sanctioned events.
    • Verified Consent: The organization must ensure all featured members and participants have a signed photo release on file prior to recording.
    • Spatial Limitations: Photography and videography must be confined strictly to the organization’s reserved practice or event space.
    • Background Privacy: Media must be framed or edited so only club members are visible. No bystanders, staff, or other patrons may appear in the background.

    3. Enforcement

    Failure to comply with these privacy standards, specifically the inclusion of non-club individuals in media, will result in disciplinary action

  • Social Media Guidelines

    1. Consider the implications before posting; all content is public.
    2. Exercise caution when managing connections.
    3. Maintain respectfulness and positivity in interactions.
    4. Be aware of the permanence of the internet; deleted posts can still be recovered.
    5. Restrict sharing personal information to protect privacy and safety.
  • Harvard Recreation & Club Sport Collaboration

    Club sports may collaborate with Harvard Recreation to amplify their visibility:

    • Submit content to the Club Sports Office or Harvard Recreation for approval before sharing on official platforms.
    • Tag Harvard Recreation in posts to be featured on their social media stories.
    • Content such as event promotions, tryout invitations, competition recaps, or member spotlights are encouraged.
    • Content promoting fundraisers or soliciting donations will not be supported on Harvard Recreation channels.

    Remember: All collaborative content must align with the Image and Perception guidelines to ensure a consistent and respectful representation of Harvard’s club sports community.
