What events should be registered on SOCO?

What is the event planning timeline?

Different types of events require different planning timelines (check the resource guide to find more detailed information). Generally:

  • When should I register my event on SOCO?
    • Multiday Conferences: 3 months
    • Single Day Conferences: 6 weeks
    • Social Programs or Guest Speakers: 4 weeks
    • Other events: 2 weeks/ 1 week
  • After you register:
    • The Student Engagement Team will review your event details, and you will be contacted by an event advisor from the Student Engagement Team within 3 business days to discuss next steps.
  • 3 weeks before event: Coordinate with the Student Engagement Team to determine the needs of your event. This communication will be through SOCO and email and will include all necessary information on next steps based on your event.
  • 1-2 weeks before event: Continued collaboration with the Student Engagement Team is tailored to the scope and nature of your event.

How to register events on SOCO?

  • The online register process on SOCO takes under 10 min to fill out. The register process aims to help you plan for the event and also help the student org team to better assist you.

Where can I have my events?

  • For other spaces on or off campus, please note that each location has its own reservation process. You will need to contact the space manager directly to request a booking. Please also be aware that fees may apply across different Harvard schools.

What should I know if my event will last after 10pm?

Any events that go pass or 10 o'clock are considered late night social events. To host them, you need go through different licensing process and hire safety and security teams:

It's required to register for a late night social event ONE MONTH before the intended date. To recieve the event approval and further instruction to proceed on applying for licensures and coordinating with HUPD and CrimsonEMS, please register your event on SOCO first!
